Parish Secretary/Pastoral Assistant - Immaculate Conception/Sacred Heart Parishes, Hartford/Bangor, Mich.

Under the chain of command (pastor), the Parish Secretary/Pastoral Assistant works to assist the pastor in a collaborative manner in the administrative, physical resources, personnel (Deacons, parish leaders, parishioners, and visitors) areas as well as with the pastoral ministries of the two parishes. 


Secretarial Responsibilities:
• Consults with the Pastor on business and administrative matters which affect the parish.
• Provides receptionist services and records clear, accurate messages.
• Handles routine questions about policies
• Performs data entry
• Maintains and updates the records for the parishes’ offices (i.e. recording baptisms, first communions, confirmations, marriages, funerals, new parishioner registrations, financial contributions, etc.). Prepares sacramental certificates.
• Prepares parish bulletin
• Maintains and prepares the monthly parishes’ calendars
• Prepares regular and bulk mailings
• Purchases supplies for the offices and parishes’ ministries with the pastor’s approval
• Meets with the Pastor weekly.
Personnel Responsibilities:
• Maintains good working relationships and effective communications among the parish staff, parishioners, parish groups/committees, volunteers, and outside authorities.
• Recruits and supervises parish volunteers and organizes their “job descriptions.”
• Coordinates and schedules volunteers in the parishes’ offices
• Cooperates in implementing diocesan safe environment policies (Virtus).
Parish Physical Resources Responsibilities:
• Directs maintenance and management functions for the parish facilities and grounds.
• Oversees scheduling of parish facilities and the issuing and monitoring of facility keys.
• Ensures that insurances for the rent of facilities are kept according to the norms established by parish, Diocese, and Michigan Catholic Conference (MCC).
• Ensures the establishment and monitoring of preventive maintenance programs for all property and equipment.
• Coordinates security measures to protect property and personnel. 


• Assists parish groups (Missionary Disciples’ School, Family Catechesis, Religious Education, Cursillos, and Charismatic Renewal Movement, youth group among other ministries), staff, volunteers, and parishioners in general in their spiritual, faith/human formation, service, and commitment in the mission of both parishes which is the same of the Church: to evangelize.
• Works with the Pastor on planning spiritual retreats and parish activities.
• Works as a liaison between the various parish ministries and the Pastor.
•  Assists the pastor in fostering a sense of unity and respect among the two parishes and the diverse cultural communities (English and Spanish speaking parishioners).
• Assists the pastor in fostering a sense of community within the parish in which new members and established parishioners feel a sense of belonging to each other, the parish, and the larger Church.
• Attends all pastoral staff, Pastoral and Finance Councils meetings as necessary.
• Attends diocesan and local community meetings, as necessary, representing the parish and the Pastor.
• Catholic in good standing and demonstrates an active faith in action.
• A person with a missionary spirit.
• Fluent in English and Spanish.
• Knowledge and understanding of the Catholic Church and its mission.
• Willingness to attend training workshops related to her/his service.
•  Ability to communicate effectively both verbally and in writing.
•  Ability to maintain confidentiality (mandatory).
• An understanding of Catholic parish organization and values
• Interpersonal skills.
• Ability to create, develop, and implement programs/activities.
• Attention to detail and demonstrate ability of working well and respectfully with others.
• Ability to manage and to present oneself professionally.
• Experience in parish pastoral work.
• Working knowledge of Microsoft Word and Excel.
• Associate’s or Bachelor’s degree in business or in social work or equivalent experience.
The nature of this position requires weekend and evening work as well.
